Essential Duties and Responsibilities:
  • Receiving, tracking and monitoring drawings and documentation;
  • Inputting of drawing information for reports and logging into database;
  • Responding to internal and external drawing and documentation requests;
  • Generating Document Control reports;
  • Printing, photocopying, folding as required;
  • Maintaining and filing documents;
  • Generating transmittals as required;
  • Checking the accuracy of transmittals;
  • Checking the quality of drawings and documents to be catalogued;
  • Forwarding material to client along with official transmittal document;
  • Checking the accuracy of transmittals;
  • Expediting the review of internal and external documentation within engineering departments;
  • Monitoring all drawings and documents;
  • Ensure that the document control function is being performed in accordance with corporate procedures and requirements in a timely and efficient manner;
  • Participate in work process improvements;
  • Ensure all signing/checking is in accordance with Fleetway procedures;
  • Update procedures and workflows as required.

  • Aptitude to work independently with sharp problem solving and decision making skills;
  • Self-motivation, confidence, discretion, and good judgment;
  • Excellent organizational and time management skills with the ability to prioritize and multi-task;
  • Strong listener with the ability to display patience and understanding; and
  • Demonstrate professional skills under stressful situations.


  • College graduate in business administration or technologies and at least 2-5 years of experience, or an equivalent combination of education and experience;
  • Previous experience within Document Control/Configuration Management would be an asset;
  • Data entry and database experience an asset;
  • Knowledge and experience in all areas of document/data management, including identification, creation, use, retrieval, access, retention, turnover, preferably in an engineering/construction environment;
  • Proficient in use of electronic Document/Data Management Systems;
  • Proficient in MS Word and Excel;
  • Proficient in Adobe Professional;
  • High level of energy and ability to make process improvements;
  • Experience in engineering and vendor document control;
  • Ability to deal effectively and professionally with all staff levels within the office.

Nice to Have:

  • SharePoint Administration;
  • Ability to work with graphics software Adobe Photoshop or Corel Draw.
