Irving Shipbuilding, located at 3099 Barrington Street Halifax NS B3K 5M7, is part of the J.D. Irving Group of companies and is in the business of building quality ships and repairing vessels. The company's primary site is Halifax Shipyard, with three other locations in the Maritime Provinces. Irving Shipbuilding is currently working on a number of significant projects for the Department of National Defense and the Canadian Coast Guard. Irving Shipbuilding Inc. (ISI) is looking for a Learning and Development Coordinator to join their Human Resources team. This is a permanent full time staff role based in Halifax NS. The Learning and Development Coordinator will have responsibility for the coordination and administration of a range of learning and development activities and projects as directed by the Learning and Development Manager, as well as, ensuring the development and maintenance of learning and development systems and processes.

This individual will be the first point of contact for learning and development inquiries and be responsible for all related administration, ensuring a "get it right first time" attitude is adopted.


  • Education Required: Bachelor's Degree (in Adult Education preferred)
  • Previous experience working in a fast paced, customer focused environment
  • Demonstrated experience in data analysis and reporting
  • Proficiency with MS Office specifically, Word, Intermediate Excel and PowerPoint as well as Sharepoint
  • Professional, confident, enthusiastic and detail oriented
  • Demonstrated excellent administrative, interpersonal and organizational skills
  • Ability to prioritize changing workloads
  • Ability to work effectively under pressure while retaining a strong eye for detail
  • Strong team player, able to work effectively with diverse customer groups

All successful applicants must meet requirements for Canadian Controlled Goods Program (CGP), Canadian Government Security clearance, and U.S. International Traffic in Arms Regulations (ITAR).

Key Responsibilities:
  • Establishing systems and procedures to ensure the efficiency and effectiveness of the training programs
  • Play a key role in data management including preparing reports for audits
  • Arranging facilities, room layout and equipment for participants attending workshops and events, liaison with trainers, booking training rooms, printing and distributing course materials and ensuring required equipment is available and in working order for the efficient running of all relevant events
  • Carrying out research, as directed, for training providers or other information, as requested
  • Assisting with the performance development process; ensuring documentation is returned and logged in line with the procedural timelines and reports produced, working with the HRBP's and the HR team as necessary
  • Developing and maintaining accurate and easily accessible records and processes for all learning and development activities including recording and monitoring attendance, ensuring that employees attending specific workshops are easily identified and followed up with
  • Liaising with managers to ensure all staff is booked on required events within agreed timeframes
  • Working closely with the learning and development team to design and communicate administrative procedures for the booking of both in-house and external training coures
  • Ensuring evaluation forms are completed and returned for each training event
  • Advising staff on training policies and procedures including resolving or supporting the resolution of problems related to the operation of the learning and development team
  • Managing the ISI training calendar ensuring full completion within targeted timescales and providing timely and accurate updates to people services partners and senior leaders (as required)
  • Developing and maintain productive working relationships with internal and external customers
  • Assisting with periodic reporting as requested such as; creating and maintaining training activity records, updating training records and ensuring information is accurate and up-to-date and producing reports as required
  • Preparing staff communications related to Learning and Development activities and announcements
  • Assumes the role of L&D representative on key projects or initiatives, as directed
  • Track catering as well as support learning budgets and overall tracking of learning metrics
