Communications Administrator 

 

J.D. Irving, Limited is currently seeking applicants for the full-time position of Communications Administrator.

Reporting to the Vice President - Communications, the selected candidate will be a highly motivated individual with a “can do” attitude and superior interpersonal skills, attention to detail and written communications skills. This individual will be responsible for providing a diverse set of administrative services to the Vice President, Communications and the Communications team.  

 

The Communications Administrator will also support communications planning and special event-related activities. The position is based in our Corporate head office at 100 Midland Drive, Dieppe, New Brunswick. 

 
Roles and Responsibilities: 
 
  • Manage department calendars, including scheduling with stakeholders to coordinate meetings 
  • Support Media Monitoring, departmental Project Management system and internal communications systems including message boards and notification system
  • Provide highly confidential administrative support to the Vice President 
  • Prepare and proof correspondence, reports, spreadsheets, and presentations 
  • Coordinate meetings and events for the Vice President and the Communications team 
  • Coordinate and schedule travel arrangements for the Vice President and the Communications team 
  • Work with SharePoint technology (primarily internal SharePoint site administration) 
  • Complete and submit expense reporting 
  • Liaise and interact with other departments and divisions as necessary 
  • Provide assistance in the day-to-day administration of the department 
  • Other duties and functions as required 
 
 
Qualifications and Experience: 
  • Proven experience as an executive administrative assistant, preferably 2 to 4 years of related experience
  • Completion of post-secondary education, preferably a University degree
  • Proficiency with the MS Office suite; experience with SharePoint 
  • Ability to work with high degree of discretion and confidentiality 
  • Ability to take initiative and problem solve 
  • Willing to regularly learn new programs and processes, and adapt quickly in a dynamic environment 
  • Strong attention to detail and accuracy, analytical capability to support report preparation 
  • Strong correspondence skills
  • Excellent verbal and written communications skills; a consistent pro-active and energetic approach 
  • Ability to appropriately multitask and prioritize in a fast-paced environment 
  • Proven team player 
  • Ability to work independently and with minimal direction 
  • Bilingualism would be an asset
